Commercial Invoice Support Specialist

The Commercial Invoice Support role is responsible for supporting the end-to-end invoicing and payment processes for national and commercial account customers. This position serves as a liaison between internal commercial teams, customers, and third-party invoicing platforms such as Ariba and other procurement/payment systems. The role focuses on invoice accuracy, issue resolution, account support, and ensuring timely billing and payment processing for high-volume commercial accounts.

This position requires strong attention to detail, customer service skills, and the ability to manage multiple accounts and systems in a fast-paced environment.

Key Responsibilities - Commercial Invoice Support Specialist

  • Process and support commercial customer invoicing activities across multiple national accounts.
  • Manage invoice submission through customer procurement and payment platforms such as Ariba, Coupa, or related systems.
  • Monitor invoice status, payment approvals, disputes, and rejections to ensure timely resolution.
  • Research and resolve invoice discrepancies, billing issues, and payment delays.
  • Coordinate with internal teams including Sales, Customer Service, Credit, Accounts Receivable, and Operations to resolve customer concerns.
  • Maintain accurate customer account documentation and invoicing records.
  • Support onboarding of new commercial customer billing requirements and processes.
  • Ensure compliance with customer invoicing standards and contractual requirements.
  • Track invoice volumes, workflows, and service metrics to support operational planning.
  • Communicate professionally with customers regarding invoice submissions, payment statuses, and issue resolution.
  • Identify process improvement opportunities to increase efficiency and reduce billing errors.
  • Support special projects and additional administrative functions as assigned.

Required Skills and Knowledge- Commercial Invoice Support Specialist

  • Experience working with procurement/invoicing platforms such as Ariba, Coupa, SAP, Oracle, or Salesforce preferred.
  • Strong attention to detail and organizational skills.
  • Ability to manage multiple priorities and meet deadlines in a high-volume environment.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Office, particularly Excel and Outlook.
  • Ability to work independently and collaboratively within a team environment

Education and Experience - Commercial Invoice Support Specialist

  • High School diploma or GED required
  • 2+ years of experience in customer service, invoicing, billing support, AR, or administrative support preferred
  • Experience supporting national or commercial accounts.
  • Understanding of invoice-to-cash or order-to-cash processes.
  • Experience handling customer payment disputes and issue resolution.
  • Familiarity with reporting and workflow tracking tools.
