The Government Programs & Operations Coordinator is responsible for the administration and execution of government sales programs, pricing contracts, dealer authorizations, billing support, and customer account management. This role serves as a critical liaison between government agencies, authorized dealers, sales teams, finance, marketing, and customer service departments to ensure compliance, operational excellence, and exceptional customer support.

The ideal candidate is highly organized, detail-oriented, and capable of managing multiple priorities while maintaining accuracy across billing, pricing, account maintenance, and third-party portal administration.

Key Responsibilities - Government Admin Support Specialist

Essential Responsibilities

Government Program Administration

  • Support the day-to-day administration of government purchasing programs and contracts.
  • Coordinate setup and maintenance of government customer accounts and program participation.
  • Process Customer Information Update (CIU) requests and account modifications.
  • Maintain accurate records of government agencies, authorized dealers, and contract information.
  • Ensure compliance with government purchasing program requirements and internal policies.

Government Billing & Financial Support

  • Manage customer invoice requests and provide billing documentation as needed.
  • Investigate and resolve credit, rebill, and invoice discrepancies.
  • Coordinate promotional funding requests and government trade event support activities.
  • Process access fee requests and related documentation.
  • Partner with Finance and Billing teams to ensure timely issue resolution and accurate invoicing.

Pricing & Contract Administration

  • Maintain government pricing programs and contract pricing structures.
  • Monitor expiring contracts and pricing agreements.
  • Generate recurring pricing and contract management reports.
  • Assist with contract renewals, amendments, and extensions, including cooperative purchasing agreements.
  • Support internal stakeholders with pricing inquiries and contract interpretation.

Authorized Dealer Management

  • Process Authorized Dealer Forms and related documentation.
  • Maintain authorized dealer listings for government purchasing programs.
  • Communicate dealer updates to government agencies and internal business partners.
  • Ensure dealer information is accurately reflected in company systems and program databases.

Third-Party Portal Management

  • Administer invoicing and transaction processing through customer procurement portals.
  • Upload invoices and supporting documentation into customer systems.
  • Monitor portal transactions and identify processing errors.
  • Investigate error codes and coordinate corrective actions with dealers, customers, and internal departments.
  • Maintain issue tracking logs and documentation related to portal activity.

Systems & Data Management

  • Maintain customer and government account records within enterprise systems.
  • Coordinate customer master data changes and updates.
  • Ensure accuracy and integrity of account information across multiple platforms.
  • Prepare operational reports and maintain supporting documentation.
  • Support continuous improvement initiatives and process enhancements.

Customer & Internal Support

  • Serve as a primary point of contact for government agencies, dealers, and internal stakeholders.
  • Respond to inquiries professionally and promptly.
  • Build strong relationships with cross-functional teams including Sales, Finance, Customer Service, Marketing, and Operations.
  • Support special projects and additional duties as assigned.

Required Skills and Knowledge- Government Admin Support Specialist

  • 2+ years of experience in customer service, account administration, billing, sales operations, government program support, or related business operations.
  • Experience managing multiple administrative processes simultaneously.
  • Strong proficiency with Microsoft Office, including Excel, Outlook, and Word.
  • Excellent verbal and written communication skills.
  • Strong analytical and problem-solving abilities.
  • Ability to maintain confidentiality and handle sensitive customer information

Education and Experience - Government Admin Support Specialist

High School Diploma / GED required

Associate degree, Bachelor's degree or equivalent work experience preferred
